Q&A

Is it possible on the Teaching Call to limit it to the Registrar's time patterns?

Christopher committed to putting this on the roadmap by adding the option to display course times in the Teaching Call form, if available.

Can we send out the PPT?

Yes, we'll post it on the website (see above).

Can you see overlaps/conflicts on department-assigned space?

Yes, there is currently a mechanism for this (by using filters on the scheduling screen), but we plan to add more.

Do users have to take any steps to connect Banner to IPA?

For downloading data from Banner into IPA no, you don't need to take any extra steps.

Is it a nightly download?

Yes.

For graduate groups, I have people from other courses who teach in my program. Will I be able to see conflicts from OTHER departments for instructors?

Currently, no. Future, yes, we plan to add "read only" courses from other programs.

Second for this feature request: people want to see ALL courses that an instructor teaches per instructor, regardless of the department code they're teaching for.

When will upload to Banner be available?

Registrar has committed to providing the functionality, but we don't yet have a firm timeline.

Can faculty modify each others' schedules?

No, instructors don't have modify access to anything other than their own teaching call unless you explicitly grant them access.

Can faculty see the entire schedule?

Yes, they can view but not change.

How do you capture all of the faculty who teach your classes?

In the Roles screen, you can search based on PPS and add them to your instructor list. You can add people across PPS department code boundaries.

What happens if you have a course that multiple departments have access to schedule?

Everybody can access the tool simultaneously, so you would need to work with the IPA team to set up special access.

Is there a way to put in lecturers or others who have not yet been hired in PPS? (Instructor is not yet in PPS?)

Right now, no. This is an active feature request that we're working on.

If you have your core classes that must be taught plus electives, how do you handle that with Teaching Call?

Include all of your core classes in the teaching call (pre-populated), but faculty still have access to search for electives.

Is the goal with the Banner push to make it so you don't have to go into Banner at all?

That's the goal, but some of this depends on what the Registrar's office is willing to allow.

If you include all of your courses and electives, do you have to do that for each quarter, or just copy?

You can import the schedule from a previous year as a starting point, and you can selectively import from a previous year. There is not currently an ability to copy from one quarter to another (e.g., Fall to Winter) within the same year.

Can you put out a call for multiple years? Some departments schedule three years in advance.

Yes, you can select the years as far out as you'd like.

My faculty prefer non-standard time schedules. Will IPA force them/us to schedule according to the Registrar's preferred time schedule?

No. IPA includes the standard time configurations to make input easier, but you can manually enter alternate times.

(Multiple requests for features in this area.)

When you send out the TC and you have already set times for courses, can the faculty see that when selecting their preferences?

No, but this is a feature we will consider adding.

Is there any relationship between IPA and Canvas?

Not directly. All schedule courses in Banner automatically get a Canvas site, and IPA will not impact that at all.

Is there a way to communicate the complete schedule to faculty?

Currently, no--faculty can log in to see the current schedule. You can also download the current schedule into Excel and send it via email.

What do faculty do when they don't see a course they want to teach in the preference screen?

Faculty can search for any course that's in Banner. If it doesn't exist in Banner, they could use a XX9 course or similar. They can also write in free-form comments in the comments box.

Where does the course information populate from?

The course information is imported from Banner. You can pull them in from last year, by course number, or by subject code. This is largely a limitation in Banner.

Is there a deadline to express interest?

No, whenever you're ready!

Will Banner go away?

No, IPA is just a complementary tool, not intended to replace Banner.
